The waitlist

If you join the waitlist we collect your name, email address and mobile number. We use your name and email address to send your confirmation and to tell you when Cuppa launches, and your mobile number so we can check Cuppa will work on your network and reach you in your Cuppa chat when it does. We do not use any of it for marketing and we do not pass it to anyone else. We keep them until Cuppa launches or until you ask us to remove them, whichever comes first. Our email provider (SendGrid) processes your email address to deliver those messages. To ask us to delete your details at any time, email support@haveacuppa.co.uk and we will remove them.

Who we are

Cuppa is operated in England. For a business owner’s own account details we are the data controller. For the details of people who ring a business using Cuppa - their name, number, postcode and what they said - the business is the controller and Cuppa is the processor, acting on their instructions. That is what our Terms and our data-processing schedule say, and it decides who to ask about what: about an enquiry you made to a business, ask that business, and we will help them answer you.

What we collect

From you: your name, business phone number, WhatsApp number and billing details. From your missed calls: the caller's number, the time of the call, whatever the caller tells us about what they need, and a photograph if they choose to send one. We invite a photo when it would help you quote; it is stored with the enquiry, passed to you with it, and deleted with it.

Why we hold it

To follow up your missed calls, to pass the details to you, to take payment and to provide support. We do not sell your data and we do not use your customers' details for our own marketing.

Who else sees it

Only the suppliers that make the service work, each doing one job for us and nothing of their own with it: Twilio (text messages, voice and WhatsApp), Meta (an alternative route for WhatsApp messages), Stripe (payments and subscriptions - your account, not your customers), Twilio SendGrid (email: alerts, verification and monthly summaries), Google (writes the demo’s replies), Slack (internal alerts to the founder), and Backblaze B2 (encrypted nightly backups). We do not sell your data and nobody else gets it unless the law requires it.

Where your data goes

The service runs on a server in the UK and the backups are held in the EU. Some of the suppliers above are in the United States, so some of your data is transferred there. Those transfers are covered by the UK’s International Data Transfer Addendum to the European Commission’s standard contractual clauses, or by the UK extension to the EU-US Data Privacy Framework where the supplier is certified under it. Ask us for the details at support@haveacuppa.co.uk.

How long we keep it

Enquiries, photographs included, are kept while your account is open and for twelve months after it closes, so you can come back to them and so we can answer questions about your bill; after that they are deleted automatically. Billing records are kept for as long as UK tax law requires. Ask us to delete your account sooner and we will remove the rest.

Your rights

You can ask for a copy of what we hold, ask us to correct it, or ask us to delete it. The same goes for the people who rang you: a caller can reply STOP to hear nothing more from us, and can ask us to delete what we hold about their call, photographs included, by emailing support@haveacuppa.co.uk. If you are not happy with how we have handled your data you can complain to the Information Commissioner's Office.
